  1. Performs advanced clerical assignments that are project oriented, and may include confidential correspondence involving external business partners.
  2. Greets patients, visitors, employees and others seeking department services.
  3. May conduct inventory review, and order supplies or materials as needed for a department.
  4. Answers telephones, making appointments and schedules meetings, take minutes in meetings.
  5. Records data and/or information in computer, calendar or other source.
  6. Assists with necessary administrative and clerical support.
  7. Coordinates meetings, rooms, facilities, materials and equipment.
  8. Sets up of classes, meetings, appointments, schedules and patient check-in. 
  9. Prepares and processes paperwork as assigned to the position.
  10. Prepares tables, charts and Power Point presentation materials.
  11. Prepares files and maintains patient charts, documents and records, in a prescribed manner or method.
  12. Coordinates the maintenance of computerized files and updating them regularly.
  13. Receives, evaluates/analyzes and inputs data and information into computer systems or designated program.
  14. Evaluates and implements special projects.
  15. Perform other tasks as assigned by Inpatient Care Supervisor and Hospitalist Dept. Leadership within the scope and level of the position.
  16. Maintain and update physicians, department and leadership work calendar/schedules.


May be assigned special project or other assignments and work tasks that are generally within the scope and level of the position, and relative to the need for flexible Company operations.



 Minimum:  High School diploma or equivalent supplemented by additional course work or training in secretarial/office programs.

Preferred: A.A. degree in Business or Office Administration from an accredited college, and training in medical terminology.


Minimum: Three years of general office work.

Preferred:  Two years’ experience as an Administrative Assistant or similar position performing the duties as described herein.

Medical Assistant experience.

Any combination of educational and work experience that would be equivalent to the stated minimum requirements would qualify for consideration of this position.

Driver’s License

A valid California driver’s license required and insurability under the company’s insurance carrier standards as applicable to job requirements.

  • Ability to work quickly, accurately and independently; and ability to anticipate needs and solve problems.
  • Maintain a high degree of confidentiality over all matters in the course of business operations including patient and employee information.
  • Working knowledge and advanceduse of Outlook, MS Word, Excel, and the Internet.
  • Typing skills 35wpm with accuracy and knowledge of medical terminology.
  • Ability to successfully uphold the established customer service standards and Company Mission Statement.
